A photo booth booking workflow: from enquiry to event
A practical photo booth booking checklist covering enquiries, availability, proposals, contracts, deposits and final event details.
1. Capture the enquiry in one place
Record the client’s name, event date, venue, contact details and preferred package. Keep notes against the enquiry so the next conversation starts with the same information, rather than searching across messages.
2. Check the resources before promising the date
Check the booth, backdrop, extras and staffing needed for the whole hire period. Include setup and collection arrangements in your planning. A free date on a calendar does not necessarily mean every required resource is available.
3. Agree the package and event scope
Present the hire hours, equipment, extras and travel charge clearly. Give the client a written total and explain which choices remain to be confirmed. Keep the accepted proposal linked to the booking.
4. Set out the contract and payment schedule
Use terms appropriate to your business, reviewed by a qualified adviser. State the deposit, balance deadline, cancellation terms and responsibilities. Check the signature and payment status before treating the booking as fully confirmed; do not rely on a sent payment link as proof of payment.
5. Collect final details and prepare the team
Use a pre-event questionnaire for the backdrop, print design, venue access, on-site contact and key timings. Put confirmed answers on the job sheet and review any outstanding payments or documents before the event.
6. Close the loop after the event
Record completion, check the payment ledger and follow up on outstanding actions. Share the gallery link where applicable and ask for an honest review. Keep the booking record as the source of truth for future client enquiries.
